Interlibrary Loan Policies

Materials Available for Request through My Interlibrary Loan (ILLiad) Account

Please remember to submit a separate request for each item. 

  • Book chapters
  • Journal articles
    • Up to three articles/chapters from a journal issue/book may be requested.
    • All requests are evaluated for copyright compliance and may be cancelled.  
  • Books
    • If the ASU Library copy is an E-Book and you need a print copy, please indicate in the notes field that you need a print copy.
  • Dissertations/Theses
  • Media (CDs, DVDs, videos, etc.)
    • Media items may take longer to arrive.
    • Media often have short checkout times.
    • Scheduling for classroom use is unreliable.
  • Currently unavailable from the ASU Library -- checked out, missing, or on order.

 Materials Not Available for Request through Interlibrary Loan

  • Entire journal volumes
  • E-Books
  • Materials for personal use 

Email notification will be sent when the requested material has been received and processed by the ILL staff.

To ensure delivery of library notices add these addresses to your spam filter's safe list:

Text message notification is an optional service in addition to the email notification.
Opt in by adding your mobile phone number to your ILLiad account settings under "Change User Information" and selecting which types of notices you want to receive by text messaging.

Loans will be sent to the pickup location indicated in your ILLiad Account.

  • Materials with a library pickup location other than Noble Library will take up to two business days to arrive.
  • Contact the Circulation desk indicated in the email to verify the material has arrived.
  • Materials with a mail to home address will be shipped via FedEx ground -- delivery dates will vary.

Articles will be delivered in an electronic format.

  • The notification email will have a link to access the electronic article.
  • You can also access electronic articles in your ILLiad account.
  • Electronic articles are available for only 60 days.
  • It is highly recommended that you save the article to your computer.

ILL materials can be picked up and returned at the Check Out/Information desk of the following libraries:

  • Tempe Campus:

    • Design and the Arts Library
    • Music Library
    • Noble Library
  • Fletcher Library (West Campus)
  • Downtown Phoenix Campus Library
  • Polytechnic Library
  • Thunderbird IBIC

Note:  Do not return ILL materials in any bookdrop or to the ASU Law Library.

Each ILL item will have a bookstrap with important information for you and the library staff, including:

  • Due date
  • Conditions of Use
    • In Library Use Only
    • No Copying
  • Barcode for issuing/returning materials from your library account

 Please do not remove the bookstrap from your ILL material.

Material received through Interlibrary Loan is by permission of the lending library and should be used in a timely manner.  Every effort should be taken to be good stewards of the borrowed material by returning borrowed materials promptly and honoring any conditions placed by the lending library.

Due Dates are determined by the lending library:

  • The average loan period is 2-10 weeks beginning when the loan is received by ILL and is not renewable.
  • For questions regarding loan periods please contact the ILL office at 480-965-3282 or ill@asu.edu.
  • Intentionally returning ILL material late negatively impacts our relationship with the lending library which can hurt our ability to get material from that library in the future.

Late Returns/Fees

  • Overdue items are subject to fines, account blocks, and lost item fees.
  • Interlibrary loan materials do not have a grace period.
  • Overdue reminders are sent as a courtesy, and failure to receive one--for whatever reason--does not waive your responsibility for meeting each due date or paying subsequent fines.

Current Arizona State University Faculty, Students, and Staff are eligible to use Interlibrary Loan and Document Delivery services.  

The Ross-Blakley Law Library provides Interlibrary Loan services for the Faculty, Students and Staff affiliated with the Sandra Day O'Connor College of Law.


Interlibrary Loan FAQs

Is there a limit to the number of items I can request?

  • No; however, please do not request more than you can reasonably use in the time in which they are here.

Can I request textbooks through Interlibrary Loan?

  • No; Interlibrary Loan should be used for supplementing research on specific topics, not general course study materials.
  • Attempts to borrow current editions of textbooks normally takes longer and are frequently unsuccessful.
  • Interlibrary loan due dates are short and will not cover a full semester use. 
  • We recommend purchasing or renting your textbooks, or ask your instructor to put your textbook on course reserve in the library.

Can I request an entire issue of a journal?

No; most libraries do not circulate entire issues of journals through interlibrary loan.

Can I request materials for personal, non-academic use?

No; materials for personal, non-academic use should be requested through your local public library.

Why was my request cancelled?

If your request is cancelled, you will receive an email giving the reason. 

Common reasons are:

  • the requested book is available in the ASU Library
  • the full-text article is available in the ASU Library research databases
  • the citation provided is inaccurate or missing important information
  • we were unable to find a library willing to supply the material

Can I resubmit cancelled requests?

Requests can be resubmitted if:

  • You have more information about the request.
  • You have had a search done through circulation on an item we own and it has been declared missing.

To resubmit:

  1. Click on “Cancelled Requests” to view all requests that have been cancelled.
  2. Click on the transaction number of the request you wish to resubmit.
  3. Click on "Resubmit request" in the top right corner of the screen.

Most article scans are received through an automated process and are not reviewed by ILL staff.  We cannot guarantee that a PDF received in a format that can be printed or edited.  Other factors effecting the quality of article scans include the condition of the item being scanned and the type of scanner being used.

Resend Policy:

Resends will be requested if pages are missing or illegible.

  • Contact us  with the TN#

Resends will not be requested for scans due to:

  • Pages included twice:
    • Intentionally to ensure both texts and images are clear.
    • Scanning error
  • Pages upside down:
    • Use the rotate function in your image reader software.


Why is there an invoice included with my document?

  • Invoices are only included when an error has been made.
    • The ASU library cover the cost of fulfilling your request unless otherwise indicated.
  • Please notify Interlibrary Loan by phone or email with the TN# of the article with the invoice.

What if the item I received is not what I expected?

 What do I do if I received the wrong item?

For articles

  • Send a reply email to the original email notice telling us what the problem is and we’ll ask the lending library to send the correct article.
    • If you've deleted the email already, send an email with the TN# to ILL@asu.edu.

For books or other loans

  • Please return it to Interlibrary Loan as soon as possible and tell us the problem. 
  • You can also call or email us, including the TN# and the problem.
  • The wrong item will be returned to the lending library and the correct one will be reordered.
    • Interlibrary Loan cannot reorder material until it has been checked in and returned to the owning library.

Can I request media (CDs, DVDs, etc.)?

Media can be requested, however:

  •     Media items, including films, music and audio recordings, are extremely difficult to attain.
  •     Many libraries do not circulate media items through interlibrary loan.  
  •     Media items often have short checkout times (usually 1 week).
  •     Borrowing media items normally takes longer and attempts are often unsuccessful.

Note for Faculty:   

  •     Media being requested through ILL for classroom use is problematic due to uncertain delivery dates.
  •     Use the Suggest an item for the Library to purchase form for items needed for class instruction.
